What we collect when you enquire, book or pay — and what we do with it.
Last updated: 17 September 2026We ask for your name, phone number and email so we can hold a room for you and talk to you about your stay. We use those details to run your booking and nothing else. There are no advertising trackers, no analytics scripts and no cookies on this website. We do not sell your information, and we do not send marketing to people who have only enquired.
Kanchi Farm Stay is a family-run farm stay near Kanchipuram, Tamil Nadu, India. We operate this website, kanchifarmstay.com, and we decide how the personal information described here is used. In the language of India's Digital Personal Data Protection Act, 2023, we are the Data Fiduciary and you are the Data Principal.

| When you… | We collect | Because |
|---|---|---|
| Check availability or a price | The room, your dates, and the number of adults and children | To work out whether the room is free and what it costs. Nothing here identifies you, and we do not keep it. |
| Send an enquiry from our contact page | Your name, email, phone or WhatsApp number, the dates and number of guests you asked about, and your message | To answer you. |
| Book and pay on this site | Your name, email, phone or WhatsApp number, your dates, the room, the number of guests, the amount, whether it is paid, a booking reference, and any note you or we add to the booking | To hold the room, to let you in on the day, to reach you if something about your stay changes, and to keep the accounts. |
| Simply visit a page | Our hosting provider records the usual web server log entries: your IP address, the time, the page requested, and your browser's user-agent string | To keep the site running and to deal with abuse. We do not use these logs to build a profile of you. |
We ask for a phone number because a farm stay is not a hotel front desk: if your directions go wrong or the weather changes what is possible on the day, a phone call or a WhatsApp message is how we reach you.
These are not aspirations. They describe how the site is actually built, and you can confirm most of them with your browser's developer tools:
Your browser does fetch our typefaces from Google Fonts, which means Google receives your IP address in order to serve the font files. That is the only request this site makes to a third party on an ordinary page view.
Online payments are handled by Razorpay. When you pay, your card number, UPI ID, bank credentials and one-time passwords are entered into Razorpay's own secure checkout and go directly to Razorpay. They never reach our website and we never see or store them.
What we receive back and keep is the Razorpay order and payment reference, the amount, and whether the payment succeeded — enough to match a payment to your booking. Razorpay handles your payment data under its own privacy policy and under the rules the Reserve Bank of India sets for payment processors.
We share your details only with the services we need to run a booking:
| Service | What reaches them |
|---|---|
| Razorpay — payments | Your name, email and phone number, and your payment details, which you give to them directly. |
| CallMeBot — the alert that tells us a booking has come in | A message containing your name, phone number, email, room, dates and amount, delivered to the owner's WhatsApp so somebody knows to prepare for you. |
| Web2Phone — the contact form on our enquiry page | Whatever you typed into that form, which it forwards to us. |
| Hostinger — web hosting | Everything stored on the site sits on their servers, in India. They do not use it for their own purposes. |
| Google Fonts | Your IP address, when your browser fetches our typefaces. |
Beyond these, we disclose personal information only where the law requires it — for example a lawful request from a government authority, or the guest records a property is obliged to keep — or where it is genuinely necessary to establish or defend a legal claim.
We also list our rooms on Booking.com and Airbnb. If you booked there, that platform collected your information under its privacy policy and passed us the part we need to host you — typically your name, your dates and a contact channel. This policy covers what we do with those details once we have them; it does not cover what the platform itself does, so please read theirs too.
To stop the same room being sold twice, we publish an availability calendar that Booking.com and Airbnb read. That calendar contains only dates, marked "Unavailable". No guest name, phone number, email address or amount is ever included in it.
Booking records are stored in a database on our hosting account, held on servers in India and placed outside the public area of the website so it cannot be downloaded from the web. Administrative access is password protected.
The site is served over HTTPS, so what you type reaches us encrypted. Passwords, keys and the booking database are stored outside the public web folder and are blocked from being served by the web server. We keep the number of people who can see guest records to the family members who run the property.
No system is perfectly secure, and we would rather say so than promise otherwise. If a breach ever affected your information, we would tell you and the Data Protection Board of India, as the law requires.
This website is meant for adults making a booking. We ask how many children are in your party so we can work out the room and the price — we do not ask for a child's name, age or any other detail, and we do not knowingly collect personal information directly from anyone under 18. The adult who makes the booking provides whatever we need on behalf of the party. If you believe a child has given us personal information directly, write to us and we will delete it.
Under the Digital Personal Data Protection Act, 2023, you can ask us to:
Write to ops@kanchifarmstay.com and we will reply within 30 days. There is no charge. We may ask you to confirm something only the real you would know — usually your booking reference — before we hand over or change anything, because handing a guest's details to the wrong person is the one mistake we most want to avoid.
If we have not resolved your complaint, you may escalate it to the Data Protection Board of India.
If we add a service that handles your information differently, we will update this page and change the date at the top. The date shown there is always the date the policy last changed.
